Tenant coordination in Gauteng

FortisCo coordinates the relationship between tenants, landlords, professional teams and specialist contractors through the fit-out process — tracking submissions, approvals, access and programme so tenant installations meet the landlord's criteria and the opening date.

Overview

Tenant coordination, explained.

Tenant fit-outs stall in the gaps between parties. The tenant's designer assumes the landlord approved a shopfront; the landlord's team is waiting for a wet-services drawing; the contractor cannot get access because the induction pack was never submitted. Tenant coordination exists to close those gaps deliberately rather than by escalation.

FortisCo acts as the coordinating point between the tenant, the landlord or centre management, the professional team and the appointed contractors. We hold the submission and approval registers, chase the outstanding information, keep the fit-out programme visible to everyone and report where a decision is now on the critical path.

We can be appointed by the tenant, by the landlord or developer, or by a shopfitting or construction company delivering the tenant works. The scope is set in writing so the coordination role does not blur into the design or contracting responsibilities of the appointed parties.

Who it suits

Companies and projects we take on.

Tenants and brand operators

Retail and restaurant tenants taking space in a centre or commercial building who need someone to run the landlord interface properly while they focus on trading.

Landlords and developers

Property owners and development teams who need consistent tenant coordination across several incoming tenants on one asset or phase.

Shopfitters and fit-out contractors

Contractors who need the approvals, access and landlord conditions managed so their site team is not idle waiting for a permit.

Our delivery approach

How FortisCo runs it.

01

02

Register

Open the drawing, approval, information and compliance registers with owners and dates against each item.

03

Drive

Chase submissions and approvals, coordinate access and inductions, and escalate items that reach the critical path.

04

Hand over

Coordinate inspections, snagging, compliance documentation and tenant readiness for opening.

Geographic coverage

Where we work.

Tenant coordination is delivered most often in Gauteng — Johannesburg, Pretoria and the surrounding centres — where site attendance can be frequent and same-day.

The same service is available on projects elsewhere in South Africa, and in Namibia and Botswana, with a site-visit frequency agreed at appointment so attendance is planned rather than assumed.

Questions

Frequently asked.

Do you represent the tenant or the landlord?
Either, but never both on the same project. The appointing party is confirmed in writing at the start so the coordination role and its reporting line are unambiguous.
Do you approve tenant drawings?
No. Approvals remain with the landlord and the appointed professional team. FortisCo coordinates the submission, tracks the response and keeps the register current.
Can you coordinate several tenants at once?
Yes. On multi-tenant phases we run one consolidated register and programme view so the landlord can see the status of every tenant in one report.
When should coordination start?
Ideally at lease signature or design kick-off. Starting after the contractor is on site usually means recovering approvals under time pressure.
